
2024 Indoor Plant Festival

The Event
The Northwest Orchid Society will be hosting an indoor plant festival. It is our vision to attract plant lovers of every kind to celebrate the diversity of the plants we grow indoors. We are giving you first access to the project. Please read our proposals and we hope you will reserve a spot with us at our festival.

Venue
We have rented a 6000 Square Foot room at the Lynwood Event Center, right where I-5 and I-405 meet.
For those not from the area, this is just outside the Seattle city limits, where there is ample free parking for the event, and is quite convenient to people in Seattle, as well as the entire East Side (Bellevue, Redmond, Bothell, Woodinville).
This 6000 square foot space will be divided roughly in half where one half is dedicated to exhibits, plant displays, informational booths and a plant hotel, and the other half for vendor sales.

bOOTH/tABLE rESERVATION
Booths will most likely be composed of standard 70″ X 30″ tables, furnished by the Lynwood Convention Center, and draped with standard black cloth.
Costs are as follows:
– 11 X 12 booth = $700 ea [10 Available]
– 6 X 11 booth = $400 ea [3 Available]
– 2.5’ X 6’ tables = $150 ea [12 Available]

What else you need to know
Sales:
Vendors will be responsible for their own sales and sales taxes. We will have monitors at the entrance / exits and a sticker system to ensure plants don’t leave without payment.
Tax:
The combined (state, county, city) sales tax rate in the City of Lynwood is 10.6%
Party Event:
The event will be opened by a preview night party event featuring music, hors d’oeuvres, drinks, a silent auction, and first access to sales. This event is a fundraiser intended to help offset the costs of this event. Cocktail attire is encouraged.
We ask that you complete your booth set up before the party begins.
We believe this is a wonderful opportunity for sales on larger ticket items, but you are free to mingle as well.
Booth Setup:
Each Booth will come equipped with at least 1 electrical outlet.
If you have additional specific electrical requirements for your booth area, please contact us about this to coordinate with the event center no later than 12/31/2023
We are still working with the event space to find out what all they will be able to set up, drapes and tablecloth are likely (not yet confirmed) to be included.
If you want to get vertical space in your booth and don’t have available materials to help you do so, please let us know – we can help get bars / fencing type structures to hang from the ceiling, and are open to creative requests.
Food & Beverage:
The event host is the exclusive food & beverage supplier and there is no outside food / beverage allowed. Please let us know if you have dietary restrictions, and we can coordinate volunteers to help manage crowds / answer questions while you take breaks for lunch.
Places to Stay:
If you would like a hotel, please let us (events@nwos.org) know in advance of the event (no later than 12/31/23) – and we can help coordinate nearby hotels at a discounted rate.
If you are looking to save some cash and don’t mind sleeping in a stranger’s home, we may be able to find a space for you with someone in the society.
Setup & Tear Down:
Please use the loading dock only to load / unload, your vehicle may be towed should you attempt parking there for the event. There is an elevator required to access the event space – we will have carts and volunteers available to help move items.
Parking is free (all day) in the lot. The event center has some requests about specific places to use, but the entire lot is available to participants of the event
Boxes / Crates cannot be stowed on the loading dock, let us know if you need help finding space for loading / unloading waste or supplies.

Judging:
There will be a hopefully impressive exhibition at this event, and we plan to offer nontrivial cash awards. You are welcome to enter specimens for prizes. If you have nothing to enter, we would love to have you assist in the judging. For details, please see our exhibition page.
